Overview
Guest links provide access to the Customer Portal without requiring a user login. To help manage security and access, you can configure guest links to expire based on a specified number of days, a specified number of clicks, or both.
This article explains how the Guest Link Expire Days and Guest Link Number of Clicks settings work and outlines the implications of each configuration option.
Accessing the Settings
- Navigate to Admin > Settings and Utilities > Site Options.
- Select the Options tab.
- Scroll down to the Customer Portal section.
The following settings are available:
- Guest Link Expire Days
- Guest Link Number of Clicks
Setting Descriptions
Guest Link Expire Days
This setting determines how many days a guest link remains active after it is generated.
Example:
If the value is set to 30, the guest link will expire 30 days after it is created.
Guest Link Number of Clicks
This setting determines how many times a guest link can be accessed before it expires.
Example:
If the value is set to 5, the guest link will become invalid after it has been accessed five times.
Configuration Options
Option 1: Expire by Days Only
Configure a value for Guest Link Expire Days and leave Guest Link Number of Clicks blank.
The guest link will expire after the specified number of days, regardless of how many times it is accessed.
Option 2: Expire by Clicks Only
Configure a value for Guest Link Number of Clicks and leave Guest Link Expire Days blank.
The guest link will remain active until the specified number of clicks has been reached.
Option 3: Expire by Days and Clicks
Configure values for both settings.
The guest link will expire when the first limit is reached, either:
- The specified number of days has passed, or
- The specified number of clicks has been used
Option 4: No Expiration
Leave both settings blank.
When both fields are blank, guest links do not expire and remain valid indefinitely.
Security Considerations
Leaving both settings blank provides the most flexibility but may introduce security risks. Since the guest link never expires, anyone who obtains the link can continue to access the Customer Portal, even if they were not the intended recipient.
For this reason, it is recommended that customers evaluate their security requirements and configure expiration settings when appropriate.
