Overview
A prepayment invoice is an invoice created before goods or services are delivered, typically used to collect payment in advance. In Lockstep, prepayment invoices are sourced directly from your ERP system — Lockstep does not create them independently.
Steps to create a prepayment invoice
- Create the invoice in your ERP system. Lockstep pulls invoice data from your connected ERP. To create a prepayment invoice, you must first create it within your ERP (for example, Sage Intacct, QuickBooks, or another supported system).
- Wait for the sync to complete. Once the invoice is created in your ERP, Lockstep will pull it in during the next scheduled sync. You can monitor sync activity in the Logs section of Lockstep.
- Verify the invoice appears in Lockstep. After the sync, navigate to the Invoices section to confirm the prepayment invoice has been imported correctly.
Allow unapplied payments
Lockstep offers an Allow Unapplied Payments feature that supports prepayment scenarios. This feature allows a payment to be recorded without selecting a specific invoice, or for a payment amount that exceeds the invoice total. This is useful when a customer pays in advance before an invoice is finalized.
